A great deal of our funding comes from grants and generous donors and we need to report back to these groups providing information on the clients we are helping by providing data such as: their region in NZ, their ethnicity and their type of bereavement. Improving our reporting will help us to secure more funding in future.  We've put in place a few minor improvements to help us achieve this:

(1)  REGISTRATION FORM
Please request that your clients complete the following Registration form BEFORE their first therapy session with you.  This is a very quick form (3-5 mins to complete) to be submitted online (computer, internet device or mobile phone) by the Parent/Guardian or Medical Professional involved and can be completed for a child, adult or multiple siblings in one family. (2) INVOICING
Please ensure that your invoices clearly state the client name (Firstname & Surname) and the date of the therapy session.   Our accounts team can then tie this information to the information submitted by the client on their registration form.

Invoices should be emailed to Deb Farmer (kenziesgift@app.hubdoc.com) by the 5th of each month.  If you submit your invoices via XERO directly there is no need to email a copy.    We will make every effort to pay invoices by the 7th working day of each month.  Please be aware this is seven working days and if it falls over a weekend payment could be as late as the 9th of the month.  Occasionally, payment may be a day or two late and we really appreciate your patience and understanding in these rare cases.   Our accounts team is staffed very kindly by volunteers who do everything they can to make payment on time each month.

(3) DISCHARGE
When you have completed the final therapy session for your client please ensure that you let the team know (elisa@kenziesgift.com and deb@kenziesgift.com) that you are discharging them, by noting this on the invoice or emailing us.    This is important as it will let us know to send out the client survey.

(4) CLIENT FEEDBACK SURVEY
Once notified that a client has been discharged we will trigger a feedback survey through Survey Monkey.  This is a relatively simple five minute survey which encourages the client to share feedback on their experience.
